Emergency Plan for Nelson Poynter Memorial Library

Evacuation of the library.

If you feel the Library should be evacuated because of safety or health concerns -- such as power outages, infrastructure damage, chemical spills or other odors affecting staff and library users:

Call University Police (3-4140 or 3-4444). They can help assess the situation to determine if the hazard requires evacuation or simply moving people from a particular floor or area. They can also contact facilities, the fire department, or other emergency responders if warranted.

Regardless of the timing of the incident, call early so the situation can be evaluated and appropriate action taken.

Inadequate Staffing

At least two people are needed to ensure safety and security in the library on evenings and weekends. This coverage can be provided by two library staff members or by one staff member and the security guard. If assigned staffers do not show up for work, or must leave early because of an emergency the remaining staff member should do the following.

A scheduled staff member is absent

  1. If the security guard is available open the library at normal time
  2. Call the scheduled staff member to see if they are on the way.
  3. If the staff member doesn't arrive the library can remain open.
  4. Email the department heads to let them know of the staff member's absence.

If a staff person has to leave early because of an emergency.

  1. The remaining staff person should continue to operate the library as normal with the security guard.
  2. If there is a request/problem that cannot be handled by the staff member on duty, make a note and ask the patron to come back during the week.
  3. Notify the department head by the next business day.

Security guard is absent

  1. If both staff members are available open the library at normal time
  2. Call the security company to report guard's absence. The number is posted at the Access Services Desk.
  3. The company should send another guard. Even if they don't, the library can remain open.
  4. Call University Police if needed.

Library staff member and security guard are both absent

  1. The library should remain closed. Put up a sign indicating that because of an emergency the library will be unable to open on time.
  2. Call the staff member to see if they are on their way.
  3. Call the security company to report the guard's absence and request a replacement.
  4. Remain closed until the staff member and/or the security guard arrive, then open the library.
  5. If the staff member cannot work, or if the security company cannot provide another guard, put up a sign indicating the library will be closed
  6. Email the Library Dean and the Department Heads to let them know the library will be closed.
  7. Call University Police to let them know the library will be closed.
